Implementing one accounting system throughout the entire organization

ClearBlue Solutions follows strict project management methodologies to ensure transparency and accountability throughout the implementation process.  This standard industry-wide methodology navigates the project through five phases of Planning, Design, Development, Implementation and finally Production.  Our project managers are fully supported by your account manager and our development team to bring the installation of ClearBlue Accounting on time and with minimal impact to business continuity.


What does a full implementation look like?

Planning:

A review of the current BackOffice application by your organization and accounting support will show the applicability of ClearBlue Accounting to all aspects of your current financial management practices.   General Ledger, contributions, pledge drive and membership management functions will be compared against your current accounting functionality and needs.  The organization hierarchy and reporting structure will be mapped out to determine the overall organization structure and breadth of the implementation.  Banking and other outside financial resources will be identified to the detail transactions level.  A summary of your current state will be presented within a comprehensive a Statement of Work that will be proposed.

Design:

ClearBlue Solutions makes a detailed survey of your current distribution of local and executive offices and of each office’s accounting system and financial management practices.  A detailed conversion and implementation plan is then developed with executive leadership that will outline the activities and steps required and what is needed from your people and outside vendors and financial institutions.  A baseline Chart of Accounts is a necessary next step as this COA will form the foundation for the books across the organization.

Customization:

The BackOffice module is a fully functioning and robust accounting system ready for installation an use by your local offices.  The Enterprise module will be customized to fit your organization and the development cycle of this customization will be outlined and planned according to the particular and unique needs of your organization.  Our developers are here in the U.S. and under the direct supervision of ClearBlue Solutions.

Some organizations, due to their size and complexity, may choose to take advantage of our Early Adopter Program.  This program for new customers is designed to benefit from the partnership between a representative sample of your organization and the ClearBlue Solutions development teams to work out the details prior to a full implementation to the entire organization.  Typically this would consist of three to five local offices and one leadership office, working together on the planning, design and development cycle.  Please see Early Adopter Program for more information.

Implementation:

Once all has been planned, designed, and customized it is ready to implement and your organization as a whole is brought into the readiness and turnover preparation for the new system.  Users are trained, final conversion is tested and senior management given the opportunity for direct review of the implementation planning and signoff of the preparations.  Once the go-ahead is given and the date determined, the plan to go to production is set into motion.  Regular check-points are met and reviewed for approval to move forward until the final cutover to the new system is executed.

Production:

Once implemented the system is in a post-implementation Production phase where a quick response team of developers and accounting support are on hand 24 hours to respond to any problems that arise.  This period typically lasts through the first monthly close where the system is given a final evaluation before being placed in our premium support status.
